Dear Vendor,

Welcome you to the Geacom Partner Team! We look forward to welcoming you and hope for a long and successful cooperation!

In this letter you will find useful information which will help you in the process of cooperation.

For the project management we use Plunet Translation Management System (TMS) (https://tms.geacom.cloud )

The user manual in English (Resource Portal) or in German (Plunet_Mitarbeiterportal. ) can be downloaded for your reference and as additional information about the system itself and features.


We will create an account for you in Plunet. After that you will receive a link to access the data. You should check the correctness and completeness of the data entered into your profile.

To make our cooperation pleasant and productive, we ask you to fill in the following information:

  • Last name, first name (if you represent a company, the name of the company)
  • Phone number,
  • E-mail,
  • Language directions, incl. language options (e.g. EN-LV and LV-EN)
  • Preferred fields,
  • CAT tools you work with
  • Bank details (name of the Bank, IBAN, SWIFT, Address) – ONLY FOR EU Banks
  • If you are using PayPal or Payoneer, Transferwise or similar, please fill corresponding fields.
  • For companies and if you are a taxpayer in Estonia – the number of the taxpayer

You can also upload your photo, write a note to the manager in the Memo, provide Skype and other information as you wish.

Once you've entered all the necessary information, our managers will be guided by the information you've provided and will offer you suitable jobs.


As you probably already know, your profile in Plunet is accessible to several translation agencies of the Geacom Group under registration on https://tms.geacom.cloud

All questions, which are not related to ongoing projects or invoicing of ongoing projects can be addresses to our Vendor Manager: jobs@geacom.eu


Our Workflow:

Project Manager is creating a Job offer in our TMS Plunet.

Mostly, jobs are offered to multiple suitable translators simultaneously and are automatically assigned to the translator who accepts the job first.


Orders are quoted in the form of an e-mail request. The request letter contains:


  1. the task (translation, editing, LSO, LQI, etc.)
  2. the deadline,
  3. the subject matter or the end customer,
  4. the CAT tool used for the translation,
  5. job instructions,
  6. special instructions (if applicable).

The offered job has status “Requested”


In general, we use the following percentage for matches in CAT –tools. The price for the Job will we calculated on this base:


word(s) new - 100%

word(s) 75%-84% matches - 80%

word(s) 85%-94% matches -70%

word(s) 95-99% matches - 25%

word(s) 100% matches - 25%

word(s) repetitions - 10%

word(s) context matches - 10%

*Please be advised that Editing is paid as 25% from price for the new source word.

**Please note, some jobs may have a fixed fee. This also will be visible in Job offer.



Please check all details provided in order offer to make sure you can meet the requested deadline complying instructions.


If you have no possibility to accept/decline the job directly in Plunet, please let us know by e-mail as soon as possible.

If you cannot accept the job by any reason, please let us know by email anyway, thus we will know that you are an active translator in our database. As alternative you can decline the job in Plunet and leave a comment with a reason.


If you have entered the system and see no Jobs with status “Requested”, probably someone was faster than you and the job is already accepted by another vendor.


After the order (Job) is accepted the status of this job will change to “In Work”. This means you have accepted the Job and can proceed.

Now you have to download all files required for this order from Plunet.

Please always use Download ZIP Archive button in Plunet. This is the only proper way you can get all shared files downloaded.

Please make sure the provided documentation conforms instructions. If you think you are missing something, please contact project manager immediately.



When you deliver your order, the translated files shall be uploaded to Plunet. The job also has to be delivered, please make sure you do that, so the Project Manager will get a notification the job is completed.

*Jobs, which require working in online CAT-tools do not require any files to be uploaded, but the job itself has to be set to “Delivered” anyways.



CAT-tools


At Geacom all translations are processed using CAT tools. 

Nowadays we mainly work with such tools as SDL Trados Studio, Passolo, Across, MemoQ, Transit NXT, Translation Workspace Xliff Editor (TWS) and Memsource.

  1. SDL Trados Studio is probably the most used tool for translation. If the jobs are to be executed in SDL Trados, the translator receives a package for translation.
    In this case we expect Return package to be uploaded by translator. You can find all needed information about how to work with Trados here: https://community.sdl.com/product-groups/translationproductivity/
  2. MemoQ is a CAT-tool, which requires working on Server. You may need a license for this. If you have none, we can also share ours.
    MemoQ projects can also be provided in “Online”, in this case you will only need a link and login data (will be provided by Project Manager)
    Further information can be found at www.memoq.com


  1. Translation Workspace Xliff Editor (TWS) is a free and widely used CAT tool in our company. It works with offline files connected to online resources (translation memories, termbases, etc.). The default Xliff Editor file extension is .xlz.

Along with Translation Workspace we need you to install the “offline checker” Linguistic Toolbox (LTB). Basically, every job done in TWS needs to be checked using LTB. This tool checks spelling, terminology, inconsistencies, punctuation, etc. on a base of provided configuration.   1. Across is a high-performance client-server solution. The translator does not need to install the program, the work is done online in the browser directly on our server. When you accept an order with Across, the project manager provides you a link and access data.


  1. Memsource – the work in this tool is done in the browser in online mode. You will receive a link and login details after job will be accepted.


  1. Passolo is a simple but powerful CAT tool from SDL for software localization. The free version of Passolo Translator Edition can be downloaded directly from the SDL website. Please note that for package processing (e.g. Translation.tbulic18) you must use the appropriate version of the Passolo Translator Edition (e.g. Passolo Translator Edition 2018 for Translation.tbulic18). Here, too, the translator receives a package for translation and returns the translated package. When working with this tool, there is no option to create so named return package. The translation is saving in the same file you opened.


  1. Transit used to be a frequent CAT tool, nowadays projects are no longer so common. Here, too, the translator receives a project from us for translation and must return the translated return package.




Invoicing


In order to ensure timely payment of invoices, it is necessary to issue them via Plunet. In this case they are automatically registered in the system and submitted for payment. You can issue invoice on all jobs, which have status “Approved”.

Payment will be made on the first day of payment, in 45 days after the invoice date.

Payment days - once a week (4 times a month).

For your comfort, please do not create invoices more than once-twice a month!  If you have any questions regarding invoices, please contact us at accounting@geacom.eu


We accept the following payment methods: Bank transfer (EU only!), Paypal, Payoneer, Transferwise, PaySera.

 

Invoices should be created in Plunet (you can download your invoice in Word for your own records).

Before creation please make sure that you have input all your payment data in Plunet.

NOTE! We cannot pay invoices which were not created in Plunet, due to accounting workflow!
